Count your task switches

Log a day of switches, describe the shape of your timetable, and get back a read on which kind of problem you actually have.

The short version

  • Each switch between tasks is too small to notice, so the cost of a fragmented day only becomes visible when you count them. This tool counts them with you.
  • Then it asks who put the fragments there. Fragmentation you generate is a technique problem you can fix this week. Fragmentation the timetable imposes is a conversation, not a character flaw, and it hands you the exact sentence to send.
  • Nothing here is a test or a verdict on you. It adds up numbers you enter and hands back a request in your own words.

You were at it all day and the honest total of work produced is a small fraction of that. The usual explanation reaches for effort or concentration, because from where you are standing those are the only candidates visible. But the number of switches, and who scheduled them, is a different and more useful thing to know. This tool works both out.


Before you begin

Pick one ordinary working day, ideally one you have already lived, so you are counting real switches rather than imagining them. You will enter a rough tally of how often you moved between different tasks, then say who decided the shape of that day. Nothing you type is saved.

Worth knowing. The switching-cost finding is well established under laboratory conditions and has been replicated widely (Monsell, Trends in Cognitive Sciences, 2003): switching between tasks carries a measurable time cost, the cost shrinks when you can see the switch coming and prepare for it, and it does not disappear even with full warning. What that does not give you is a number for real life. Laboratory switches are between simple tasks, seconds apart; a switch from a chapter to an email and back is not the same object. So this tool never converts your tally into minutes lost, that figure does not exist. It only counts, and asks who did the scheduling. You will also see a specific number quoted for how long it takes to get back to a task after an interruption; that comes from a misreading of a study that did not measure it, and it is best ignored.
